About this role:
Wells Fargo is seeking a highly organized and detail-oriented Associate Executive Specialist responsible for providing administrative support for approximately four leaders in the Talent Management and Learning function, with occasional assistance for their immediate leadership team/direct reports. This role requires a proactive and adaptable individual capable of managing multiple priorities in a fast-paced environment, ensuring seamless day-to-day operations and contributing to the effectiveness of the Talent Management organization.
In this role, you will:
Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports.
Perform complex administrative, transactional, operational support tasks, including but not limited to calendar management and meeting prioritization, expense reporting, event coordination and support, booking meeting rooms, and coordinating availability among multiple calendars. Ensure all requests are executed smoothly in a timely manner.
Coordinate and arrange for travel for the leaders, including researching and booking flights, lodging and transportation, and handle any changes or adjustments. Ensure that all travel plans align with company policies and that travel expenses are entered into the system in a timely manner and accounted for/projected in monthly budget reviews.
As requested, provide communications and correspondence support for leaders, including phone calls, emails and in-person requests in a timely manner.
Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks.
Support more experienced level leaders with daily administrative tasks as requested, requiring interaction with more experienced leaders across the organization.
Required Qualifications:
6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
Proven experience with successfully supporting multiple senior level and executive level leaders with calendar management, travel arrangements, scheduling of meetings and events
Experience in creating and editing executive ready power point presentations in support of two leaders
Intermediate Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software/technologies
Experience with ordering and purchasing, and communicating with vendors
Ability to handle confidential material in a professional and discreet manner
Experience with Workday and My Concur
Experience using SharePoint site
Excellent verbal, written, and interpersonal communication skills
Flexibility and adaptability to changing priorities and demands
Preferred experience in HR and/or Talent Management
