Responsibilities*

The individual holding this position will primarily support the pre-award process and be a valued resource for faculty, postdoctoral fellows, and students assisting them in applying for grants, other sources of sponsored funds, as well as non-sponsored funds requiring internal submission at the University of Michigan.
As a critical member of the Divisions administrative team, this person will ensure compliance with Division, Departmental, School, University, and sponsor policies, instructions, guidelines, and deadlines including, but not limited to, the following:

  • Advise Division personnel on the interpretation of the aforementioned policies, instructions, and guidelines, seeking clarification as appropriate;
  • Serve as primary support to accurately complete PAFs and ensure timely routing for Division, Department, Medical School and ORSP review, addressing and resolving matters as they arise;
  • Prepare preliminary versions of grant documents including budgets and budget justifications, resources (facilities and equipment), biosketches, etc. for submission applicants who will then finalize them for submission to sponsors;
  • Serve as a liaison or an advisor to the Division for sponsored projects related activities including progress and final reports, IRB, IACUC, etc., and assist where needed to complete reporting, regulatory, and approval processes;
  • Develop and maintain collaborative relationships with the Clinical Trial Support Unit (CTSU) team ensuring assignment of responsibilities and coordination of application development;
  • Maintain pre-award filing system for the Division;
  • Assist with locating sources of funding for faculty, postdocs and students;
  • Advise Division faculty and staff with identifying university resources as needed for research related matters including initiating contact and coordinating communications (i.e., MICHR, IRB, etc.);
  • Coordinate and assist with the completion of unfunded agreements (UFA), Just in Time (JIT) requests, Other Support (OS) requests, as well as interim and final progress reports;
  • Represent the Division at Department and other institutional meetings;
  • Other administrative duties as assigned.

Required Qualifications*

  • Bachelor's degree and 5-7 years of progressive grant and contract experience or an equivalent combination of education and experience. 
  • A basic understanding of the structure, functions, and operation of ORSP, Office of Research, Sponsored Programs, and the Medical School is expected. 
  • Experience with fellowship, career development, training grants, VA appointments, Intergovernmental Personnel Act (IPA) agreements, and subcontracts is also desired.
  • This position requires a motivated person who works well under deadline pressure and can operate responsibly and independently. 
  • Requires a high level of multitasking and prioritizing, managing proposal submissions of varying degrees of complexity concurrently. 
  • Strong writing skills and the ability to carefully read and interpret guidelines and policies are a must. 
  • Qualified candidates are adept at learning new processes and systems as well as contributing to the team effort in creating or modifying them as needed.  
  • A high level of integrity and commitment to functioning as an integral, trusted colleague within our administrative team is a must.

A successful employee will work carefully to cultivate and maintain trust and rapport with a variety of constituents including Division and Department faculty and staff, Medical School and University administration, and sponsors. 

Desired Qualifications*

  • Masters degree and 5+ years of pre-award and sponsored projects management experience, especially with NIH and industry sponsors, preferred

Work Locations

This is a hybrid position with flexibility to determine onsite and remote working schedules.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
